Regulations of the ‘Newsletter’ service by the Warsaw Tourism Office

1. General information:

a. The Regulations define the rules for the provision of Newsletter services by the Warsaw Tourism Office, headquartered at Plac Defilad 1, 00-901 Warsaw.

b. As part of the Newsletter service, the Warsaw Tourism Office will send the Newsletter via e-mail to the e-mail address provided by the User.

c. The Newsletter service is provided free of charge.

d. Before subscribing to the Newsletter service, the User is obliged to read the content of these Regulations and the Informational Clause.

e. By subscribing to the Newsletter, the User agrees to receive commercial information, in accordance with the Act on the provision of electronic services, as well as to the use of their telecommunications devices (e.g. computer, phone, tablet, etc.) in order to receive the Newsletter, in accordance with the Telecommunications Law.

f. In offering the Newsletter, the Warsaw Tourism Office uses the services of an external provider, MailerLite Limited, a company registered in Ireland.

g. Using the Newsletter also implies consent to the monitoring of Users’ activity by the Warsaw Tourism Office using tools of the MailerLite company, including the date of subscription to the Newsletter, the date and time of opening the e-mail, clicking on the links sent, and the date of unsubscribing from the Newsletter.

2. Where and how can I subscribe to the Newsletter?

a. In order to receive the Newsletter, it is necessary to provide the User’s e-mail address in the form posted on the go2Warsaw portal, or to sign up to the Newsletter in response to the e-mail inviting you to subscribe.

b. In the procedure of subscribing to the Newsletter via the go2Warsaw portal, the Warsaw Tourism Office uses the so-called double-opt-in procedure. This means that we send the Newsletter to the User only if he/she has previously expressly consented to the activation of such a Newsletter. The user must confirm that the e-mail address he/she provides actually belongs to him/her. To this end, an e-mail is sent to the User asking him/her to confirm the registration by clicking on one of the links contained in the message.

c. In the procedure of subscribing to the Newsletter by responding to an e-mail inviting you to subscribe, the Warsaw Tourism Office uses a single subscription procedure.

d. In order to provide users with more attractive content, the go2Warsaw portal aggregates data on the number of emails opened and links clicked. Based on the aggregated data, conclusions are drawn regarding what content Newsletter Users are most interested in.

e. The e-mail address provided for the service will only be used to send the Newsletter.

3. Contact:

a. Any questions or comments regarding the Newsletter should be submitted to: news@letter.go2warsaw.pl.

 4. Newsletter

a. As part of the Newsletter, we offer:

  • a calendar of events updated by the Warsaw Tourism Office, which can be followed on go2warsaw and our social channels,
  • inspiring content, such as news about upcoming events, festivals, new museum exhibitions, etc.
  • ecommended walks, cafes, fairs, etc.
  • reminders about events coming to an end, e.g. exhibitions, festivals, shows, etc.

b. The Warsaw Tourism Office reserves the right to send the Newsletter at any time and at any frequency. The expected frequency is once every two months.

c. The Newsletter service is provided for an indefinite period of time, until the User withdraws from the Newsletter service or until the end of the provision of the Newsletter service by the Warsaw Tourism Office, which may occur at any time.

d. The Warsaw Tourism Office shall not be liable for irregularities in the reproduction of the Newsletter caused by force majeure, damage caused by the User or irregularities in the User’s system or computer equipment, the quality of the User’s Internet connection, failures of the User’s Internet providers’ devices or any other cause due to third parties for which the Warsaw Tourism Office is not responsible.

5. Withdrawal from the Newsletter:

a. The User may at any time unsubscribe (withdraw consent) from receiving the Newsletter without giving any reason by clicking on the deactivation link provided at the end in each Newsletter or by sending an explicit statement of termination by e-mail to: news@letter.go2warsaw.pl.

b. The Warsaw Tourism Office will cease to provide the Newsletter service immediately after receiving the User’s termination.

6. Technical requirements:

a. Use of the Newsletter service requires the User to have:

  • a computer or other telecommunications device with Internet access and web browsing software (browser);
  • an active e-mail account.

7. Complaints:

a. Complaints should be submitted via e-mail to the following e-mail address: news@letter.go2warsaw.pl marked “complaint”.

b. The complaint should indicate the e-mail address provided during registration for the Newsletter service and a description of the situation to which the complaint relates, as well as the e-mail address to which the response to the complaint is to be sent.

c. The Warsaw Tourism Office will consider the complaint and inform the User about the result of its deliberations within 14 working days of receiving the complaint. In more complicated cases, the Warsaw Tourism Office may contact the User to obtain additional details of the problem without the timeline of the complaint’s processing being affected.

d. The User will be informed by e-mail about the method of considering the complaint.

8. Intellectual property rights

a. The content contained in each Newsletter is subject to legal protection in accordance with generally applicable law, in particular the Act of 4 February 1994 on Copyright and Related Rights.

9. What data is stored?

a. Detailed information on the processing of personal data is contained in the Informational Clause addressed to Users of the Newsletter.

10. MailerLite

a. The Warsaw Tourism Office uses MailerLite tools to manage the email list of Users/subscribers and to send the Newsletter.

b. MailerLite Limited—a company registered in Ireland—is a third-party provider that may collect and process Users’ data. MailerLite’s Privacy Policy is available at https://www.mailerlite.com/pl/legal/privacy-policy.

11. Final provisions

a. The Regulations are published and available for download on the www.go2warsaw.pl portal.

b. These Terms and Conditions may be amended:

  • in the event of a change in applicable law affecting the content of the Regulations or the manner or scope of providing the Newsletter service;
  • due to changes in the scope of the Newsletter service;
  • due to a change in technical requirements;
  • for other important reasons.

c. The Warsaw Tourism Office shall notify the User of any change in the Regulations by e-mail. The amended Regulations apply to the User if the User does not withdraw from the Newsletter service in the manner indicated in point 5 (1) of the Regulations within 14 days from the date of receipt of the new content of the Regulations—starting from the day following the expiry of the above-mentioned deadline.
