Informational clause concerning the processing of personal data of people who subscribe to the ‘Newsletter’ service at the Warsaw Tourism Office

Pursuant to Article. 13 of Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (OJ EU L 2016 No. 119 p.1), hereinafter referred to as GDPR, we inform you that:

  1. The administrator of your personal data is the Warsaw Tourism Office, hereinafter referred to as the ‘Administrator’.
  2. You can contact the Administrator directly by writing to: Pl. Defilad (floor X), 00-901, Warsaw, e-mail: sekretariat@go2warsaw.pl, or through the data protection officer appointed by it by sending an e-mail to: iod@go2warsaw.pl. Only matters relating to the processing of your personal data, including matters relating to the exercise of your rights, should be addressed to the Personal Data Protection Inspector.
  3. The Administrator processes your personal data, including your e-mail address and IP number.
  4. Providing personal data is voluntary, however, without them it will not be possible to use the Newsletter service.
  5. The legal basis for the processing of your personal data is the legitimate interests of the Administrator (Article 6(1)(f) of the GDPR), which consists in processing data for the purpose of sending the Newsletter—promoting the capital city of Warsaw as an attractive tourist destination, presenting the city’s cultural and artistic values, creating an interesting image of Warsaw, including outside Poland; analysis of whether sent messages are read, including which content receives the most attention; in order to protect against possible claims.
  6. Your personal data are also processed after you grant consent to receive the Newsletter sent electronically, pursuant to the Act of July 18, 2002 on the provision of electronic services and to the Telecommunications law of July 16, 2004.
  7. You have the right to request access to the contents of your personal data, their correction, and to limit their processing.
  8. You have the right to object to the processing of your personal data.
  9. The personal data referred to above will be processed by the Administrator for the duration of the Administrator’s activities related to sending the Newsletter or until you object to further data processing for the purpose of sending the Newsletter. After unsubscribing from the Newsletter, you will not receive e-mails containing the Newsletter from the Administrator, however your data may be processed until the limitation period expires for any claims arising from subscription to the ‘Newsletter’ service.
  10. Recipients of your personal data in connection with and for the purposes of executing the contract may be:
    a. entities providing the Warsaw Tourism Office with accounting services, service quality research, debt collection, legal and analytical services;
    b. providers of IT systems and IT services, including MailerLite Limited, a company registered in Ireland. The Administrator uses the MailerLite tool to manage the list of e-mail recipients and to send the Newsletter. MailerLite Limited—a company registered in Ireland—is a third-party provider that may collect and process Users’ data. MailerLite’s Privacy Policy is available at https://www.mailerlite.com/pl/legal/privacy-policy.
    c. postal operators and couriers;
    d. organisational units of the capital city of Warsaw (budgetary units and budgetary offices) and legal entities of the capital city of Warsaw;
  11. Your personal data may be made available to bodies authorised by law to receive personal data.
  12. If you become aware of unlawful processing of personal data at the Warsaw Tourism Office, you have the right to file a complaint with the President of the Personal Data Protection Office.
